How to Hold a Company Meeting That Will Benefit Your Staff

Holding a company meeting can be tricky for a new CEO. A great deal of planning not only goes into the content of what will be said during the meeting, but a business owner should also plan ahead of the tone of the meeting and any interaction that may occur. The scariest thing for many bosses is getting up in front of the staff and trying to be professional, yet not too boring. It can sometimes feel like a tightrope walk, and for something that isn’t addressing any “new” information, it can be quite stressful. 

Fortunately, there are many things a business owner can do to help make sure that the meeting goes smoothly. Having a plan will help give you confidence when running a meeting, and your staff will be able to tell you that you’re prepared. Consider some of the following:

  1. Necessity – You want to make sure that you have your objectives for the meeting ready to go. Ask yourself why you’re having the meeting and what you want your staff to learn from the meeting. If you think that you could get your message across from simply an email, then having a meeting with only annoy your staff. 
  1. Executives – The best meetings have a few different people talking. If you work in a slightly larger company, see if your executives will give a short presentation discussing the accomplishments of his/her department. This will help your staff get a new voice and a new style during the meeting, which will help keep everyone focused. 
  1. Time Limit – Having a time limit will help your staff know what to expect (always overshoot your allotted time by fifteen or twenty minutes just in case). This will help eliminate any feeling of restlessness or agitation toward you for holding the meeting in the first place. 
  1. Setup – You want to have everything you need set up before the meeting starts. If there are not going to be enough chairs, take it upon yourself to find more. There is nothing more awkward than the entire office standing around wondering what to do. 
  1. Presentation – You want to make sure that your presentation is more than just you standing in front of the room talking. Having your executives say a few words will help break up the presentation, but you also want to make sure you have other things planned. For example, you may want to couple your presentation with a PowerPoint so that your staff can follow along. If there is a benefit in working in groups or breaking off into departments, use that as a break from the meeting. 

In general, a meeting longer than two hours is going to cause a restless crowd. You want to make sure that you keep your meeting as short as possible while still getting your message across. Always make sure you leave time for questions in the end, and ask your staff before you plan the meeting if there is anything they would like you to discuss. This will help ensure that your content is relevant and your meeting productive.
